    1. Introduction

    AI Systems Architect is committed to the ethical deployment of artificial intelligence in the legal profession. We believe that AI should serve as a powerful tool to enhance the capabilities of legal professionals—never to replace the critical human judgment that defines the practice of law.

    Our systems are designed to augment attorney workflows, reduce administrative burden, and ensure accuracy in time-sensitive tasks, while always preserving the essential role of licensed attorneys in all legal decision-making.

    2. Texas TRAIGA Compliance

    Our systems are built from the ground up to satisfy the requirements of the Texas Responsible AI Governance Act (HB 149), which takes effect in 2026. We take proactive measures to ensure full compliance:

    Mandatory AI Disclosures

    All agentic systems include conspicuous, state-required notifications informing parties when they are interacting with an AI. Voice agents are programmed to deliver these disclosures at the start of every call.

    Immutable Audit Trails

    Every agentic interaction—from intake calls to billing drafts—is logged with timestamps, user identifiers, and content records. These logs are stored in append-only systems to create permanent, tamper-proof records for state regulatory reviews.

    3. Data Sovereignty & Privacy

    We operate under a "Fortress" architecture designed to protect attorney-client privilege and ensure complete data sovereignty for every client firm.

    Isolated Environments

    Each law firm receives its own isolated, self-hosted environment. We do not use shared cloud infrastructure where data from multiple firms could potentially intermingle.

    US-Based Private Servers

    All deployments are hosted on US-based private VPS infrastructure (Hostinger/VPS) to satisfy Texas Bar data residency standards and eliminate shared-cloud data leakage risks.

    4. Human-in-the-Loop (HITL) Mandate

    We maintain a strict, non-negotiable policy: no AI-generated work product is finalized without explicit human review and approval by a licensed attorney.

    This applies to all outputs generated by our systems, including:

    • Billing Entries: All .1-hour time entries drafted by the AI Billing Engine require attorney approval before submission to practice management software.
    • CYA Memorandums: AI-generated call summaries and follow-up emails are held in draft status until manually reviewed and released.
    • Intake Notes: Client intake information gathered by autonomous agents is flagged for attorney verification before case file creation.

    5. Algorithmic Fairness

    We are committed to ensuring that our AI systems produce equitable outcomes and do not perpetuate bias in legal intake and processing.

    Bias Monitoring Protocols

    We continuously monitor model outputs for patterns that could indicate demographic bias in intake qualification, conflict checking, or case prioritization.

    Mitigation Measures

    When potential biases are detected, we implement corrective measures including model retraining, prompt engineering adjustments, and human review escalation protocols.
